GDPR Compliant

On occasions, TRM Web Design Limited collect and hold contact information for existing and potential clients. This information is held within a password protected and encrypted database. Any request from persons or companies within this list to remove data relating to themselves will be removed within 24 hours of the written request. Communication to you from this database is made only on a "legitimate interest" basis with an opt-out policy always in place. All opt-out requests will be taken seriously resulting in the removal of the applicable data. TRM Web Design Limited is registered with the ICO (Information Commissioners Office - ico.org.uk). Any loss of information held within our database will be reported to the ICO within 72 hours of discovery of the loss.

What We Do With The Information We Gather

We require this information to enable us to perform the basic functions of our business for you, which will involve communicating with you during any work we're performing for you, and also for billing purposes. We may use your information to contact you for the following reasons:

  • Access to services you require us to work on
  • Communicating with you during any work you've requested us to do for you
  • Internal record keeping and invoicing
  • We may also use the information to contact you about any other important issues regarding services we provide for you (e.g. if we discover any security issues regarding your website that we feel you need to be aware of; any planned maintenance on servers etc). 
     

How Long We Store Your Information

We only store your contact information for as long as you are considered an active customer of TRM Web Design Ltd. If we provide an ongoing service to you, such as website hosting or domainregistration renewals, then we must retain your billing contact details for such purposes.
In the event that you decide to cease all services provided by us, you may also request to be permanently deleted from our list of contacts immediately. If after approximately 2 years you have not required any other services from TRM Web Design Ltd, we will manually remove your contact details from our list of contacts.
Records of your billing name and address will still appear on any invoices we issued to you, which we are lawfully bound to keep for seven years for our own accounting records. Accounting records older than seven years are securely destroyed.

Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online. Should you wish to see the data we hold for you, you may be asked to provide evidence of your identity before we release any data to you.

Controlling Your Personal Information

We will not sell, distribute or lease your personal information to third parties unless we have specifically asked for your permission or are required by law. We may, on rare occasions, use your personal or business contact information to inform you about products or services which we believe you may find legitimately interesting or important, or about services we provide or should know about with a legitimate interest in the running of your website or server security. We anticipate such communication to be rare, and will be a direct and tailored email or phone call between TRM Web Design Ltd and the client.
In the event that you wish to be removed from our database to cease all contact from us, please contact us directly by email to request removal. Note: This will almost certainly mean that we can no longer provide any services for you, as we will not be able to issue invoices to you.

Payment

We accept all forms of Credit and Debit Cards using PayPal. Accepted cards include:

Our preferred method of accepting payments is via bank transfer (also known as direct payment or BACS). This does not involve the collection or processing of your bank account details by us.

We also accept payment by cheque.

If you have ever provided your bank details to us to make a payment to you, we do not store any of your bank account details within our own network. All outgoing payment details (payments made FROM us) are stored within our online banking system, and are fully secure. If you require us to remove your account details from our online banking system (so that we cannot issue further payments to you), please contact us by email to request removal.
